Terms
Last updated: 15 October 2026
How we work, in plain English. Your quote always gives the exact scope, price and dates.
1. Who we are
Actually Helpful Studio is run by Alicja Składanowska, a sole trader based in Worcestershire, United Kingdom.
Email: [email protected]. Registered with the Information Commissioner’s Office (ICO), number ZC148497.
2. How an order works
You tell us what you need through the form or by email. We reply with a written quote: scope, total price and dates. The contract starts when you accept the quote in writing (an email is enough) and pay the deposit, if the quote asks for one.
If the quote says something different from these terms, the quote wins.
3. Prices
- All prices are in pounds sterling (GBP). We are not VAT registered, so no VAT is added.
- Prices on the website marked “from” are starting prices. Your quote gives the full price for your job.
- The price in your quote is the total you pay. We do not add extra charges later. Anything outside the quote is priced separately, and only done after you agree.
4. Payment
- Projects: usually 50% before we start and the rest when we deliver. Your quote says exactly how.
- Fixed price products, such as the Festive Pack: paid in full before we start, unless we agree otherwise in writing.
- Monthly care plans: paid in advance each month. You can stop at any time by email. We finish the month you paid for and the next one does not start.
- Invoices are due within 7 days. You can pay by bank transfer or by card through Stripe.
5. Revisions
Two rounds of changes are included, unless your quote says otherwise. Further changes are priced before we make them.
6. Festive Pack
- Price: £199 for one product.
- Only 4 places this season. A place is yours once we confirm your order by email and you have paid.
- Orders close on 6 November 2026, or earlier if all 4 places are taken.
- Files are ready within 10 working days of receiving your product photos and details. Order by 23 October 2026 if you want your Diwali content ready in time.
7. What we need from you
- Materials, access and answers on the agreed dates. If they arrive late, our dates move by the same time.
- You confirm that you have the right to use everything you send us (photos, logo, texts, recordings).
- If a real person appears in your photos or a voice is used, you confirm they agreed to it.
8. Your photos and files
- Photos sent through the form are stored temporarily with our hosting provider (Cloudflare). We download them to our own computer and then delete them from the cloud. Anything we have not downloaded is deleted automatically after 60 days.
- By default we edit your photos on our own equipment. We use cloud AI tools on your photos only if you tick that option in the form or agree by email.
- We never use your photos or documents to train AI models.
- We never publish your materials without your permission.
9. Proofs, QR codes and print
- Before anything is final, you get a preview to approve.
- We test every QR code on several phones before delivery.
- Before you print, check the final proof: names, prices, dates, phone numbers and where the QR code leads. Once you approve a proof, print costs for mistakes in it are not ours.
- A QR code works as long as the page it leads to exists. If you change that page, tell us and we will check the code.
10. Examples on our website
Some examples on our website are demo projects that we made to show the style. They are marked as demo projects, and the brands, products and people in them are made up. Your work is made from your own photos and products.
11. Who owns the work
When the job is paid in full, you get the rights to the finished materials we made for you. Our templates, tools and know-how stay ours. We may show the work in our portfolio, unless you ask us not to.
12. Cancelling: if you are a consumer
If you order as a private person (not for your business), the law gives you 14 days to cancel a contract made online or by email. The 14 days start on the day the contract is made.
- Services: if you ask us to start within the 14 days and then cancel, you pay for the part already done. If the service is fully finished within the 14 days at your request, and you agreed that you would then lose the right to cancel, the right ends when the work is done.
- Digital files (for example restored photos or designs): if you ask us to deliver them within the 14 days and agree that you lose the right to cancel once they are delivered, the right ends at delivery.
- Personalised physical items made to your instructions (for example printed cards or invitations with your names and details) cannot be cancelled once made, unless they are faulty.
- To cancel, email us a clear statement. You can use the model form below, but you do not have to.
- We refund you within 14 days of hearing from you, using the same payment method.
Your legal rights stay: if something we deliver is faulty or not as described, we fix it or give your money back.
13. Ending a project: business customers
You can end a project at any time by email. You pay for the work done up to that point.
14. Our responsibility
We do the work with care, but we cannot promise specific sales results, Google positions or how platforms such as Google, Meta or AI tools will change their rules.
For business customers, our liability is limited to the amount paid for the service in question. Nothing in these terms limits liability that cannot be limited by law, such as for death or injury caused by negligence, or for fraud. Consumers keep all their statutory rights.
15. Shop and downloads
Guides and files bought in our shop on secure.actuallyhelpfulstudio.co.uk follow the shop terms there.
16. Complaints
If something is not right, email [email protected]. We reply within 7 days and try to sort it out by talking first.
17. Law
These terms are governed by the law of England and Wales. If you are a consumer living in Scotland or Northern Ireland, you can also bring a claim in your local courts.
